This privacy policy will help you understand what personal information the Swansea Shop collects from you in order to provide you with process your purchase, how we store and use that information, and the choices you have when you have provided us with your personal information.

The Swansea Shop is owned and managed by the City and County of Swansea.

How we use the personal details you provide to us

The source of all personal data that we hold is the information provided by you when you make a purchase.

Data protection law describes the legal basis for our processing your data as contract.

We use WooCommerce on this site to capture your order details.

How long we keep your data

We keep your data for a maximum of 7 years if you have made a purchase in line with our finance and auditing guidelines. If you have not made a purchase but have opted-in to receive marketing material, we hold your details until you choose to unsubscribe or ask us to delete your data.

How and when we contact you

We will contact you if necessary to confirm and process your order with us. We will not contact you for any other reason unless you opt-in to receive future email updates from us.

Your privacy rights

Your information is stored securely by the City and County of Swansea for the purposes described above.

We will not share your data with any third parties without your explicit consent unless we are required or permitted to do so by law.

You have the right to request that we provide you with a full copy of any personal information we hold on you, which we are obliged to provide to you within one calendar month free of charge.

Where you believe the personal information we hold is inaccurate, for example where your contact details have changed, you have the right to demand the immediate rectification of any inaccurate data we hold on you.

Where you believe we are holding your personal information beyond the period of retention, you have the right to demand its immediate deletion.

You also have the right to request that we transfer any personal data we hold on you to any other agency that you appoint.

Cookies
When we provide services, we want to make them easy, useful and reliable. Where services are delivered on the internet, this sometimes involves placing small amounts of information on your device, for example, computer or mobile phone. These include small files known as cookies. They are not used to identify you personally.

This is a list of the main cookies set by the Swansea Shop website, and what each is used for:

NAME PURPOSE
WooCommerce

To keep track of shopping cart data, WooCommerce makes use of 3 cookies:

  • woocommerce_cart_hash
  • woocommerce_items_in_cart
  • wp_woocommerce_session_

The first two cookies contain information about the cart as a whole and helps WooCommerce know when the cart data changes. The final cookie (wp_woocommerce_session_) contains a unique code for each customer so that it knows where to find the cart data in the database for each customer. No personal information is stored within these cookies.

Google Analytics We use this to understand how the site is being used in order to improve the user experience. User data is all anonymous and we don’t allow Google to use or share our analytics data.Google Analytics sets the following cookies:

_utma  -determines the number of unique visitors to the site and expires after 2 years
_utmb – this works with _utmc to calculate the average length of time you spend on our site and expires after 30 minutes
_utmc  – this works with _utmb to calculate when you close your browser and expires when you close your browser
_utmz – provides information about how you reached the site (eg from another website or a search engine) and expires after 6 months
ga_nextpage_params – stores data to be sent to Google on the next page you request and expireswhen you close your browser

Our website may contain links to other websites of interest. However, once you have followed these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

External web services
We may use a number of external web services on the Swansea Shop site, mostly to display content within our web pages. For example, to display images we may use Flickr; to show videos we may use Vimeo and YouTube. This is not an exhaustive or complete list of the services we use, or might use in the future, when embedding content, but these are the most common. As with the social buttons we cannot prevent these sites, or external domains, from collecting information on your usage of this embedded content. If you are not logged in to these external services then they will not know who you are but are likely to gather anonymous usage information e.g. number of views, plays, loads etc.

Information use
Where you voluntarily choose to give us your personal details the personal data you provide the City and County of Swansea Council will be used exclusively for providing you with the information or service you have requested.

In some cases we may invite you to opt-in to an email newsletter sent via Mailchimp– you can choose not to accept this invitation and unsubscribe at any time if you choose to receive it.
